Statewide Docs

Run the department roster

Add, edit, promote and remove members on a department roster, and export it as CSV.

Open CMS, then Roster. Each department has a tab. Who can see and change what: Reference › Permissions.

Columns

Callsign, Name (links to the member's details), Rank ("No rank" when empty), Status (Active, LOA or Suspended), Subdivisions, Certifications, Badge and 30d hrs (duty hours, both internal), and Discord ID. In Two-way Discord sync a Discord column shows In sync, Pending, Failed or Not in server.

Search by name, callsign or rank, and filter Assignment by Main or Reserve (main and reserve spots).

Add, edit and remove

  • Add Member: pick an active member not yet on this roster, a Rank (empty uses the entry rank), a Callsign and a Badge number. The callsign must match the department's pattern and be unique in it.
  • Edit Assignment: callsign, badge number, status, subdivisions and certifications.
  • Promote or Demote: pick the new rank. The dialog previews the role change, such as "− Officer, + Supervisor", and takes an optional reason. Every rank change is listed on the member's profile.
  • Remove From Department takes the member off this roster.

Discord managed

In Discord managed sync mode, seats that came from Discord are owned by Discord: you can't remove them, promote them when the department has rank mappings, or edit their Discord subdivisions and certifications. Change their Discord roles instead. See Sync modes.

Export CSV

Export CSV downloads the current department's roster as <slug>-<abbr>-roster.csv, with Callsign, Name, Rank, Status, Subdivisions, Certifications, Badge and 30d hours (internal), Discord ID and Assignment (Main or Reserve). Each export is recorded in the audit log.
