Statewide Docs

Organise the knowledge base

Group your documents into spaces with their own sidebar, visibility and amendment log.

The knowledge base is how members read your documents. Pages live in spaces, such as Rules and Regulations, Policies, Guides and Technical support, each with its own sidebar. Open it from Documents in the member area.

A new community starts with four public spaces, each with one example page that only members see until you edit and publish it. See What a new community starts with. Documents from before spaces existed moved into a default space.

Create a space

You need docs.manage.

  1. Open Documents, then Spaces, then New space.
  2. Fill in:
    • Name: up to 60 characters.
    • Slug: the address, lowercase letters, numbers and hyphens.
    • Icon: Book, Scales, Shield, Document, Wrench, Life buoy, Info, People, Gavel or Map.
    • Visibility: Public, Members, or Department (one department, plus the owner and admins).
    • Amendment log: adds a page listing every publish note, newest first. It reads "No Amendments Yet" until an editor publishes with a "What changed?" note (up to 300 characters).
  3. Press Save Space. View Public Page opens it as a reader, and Delete Space deletes it.

A space decides who can open it, and each page's own visibility still applies inside it: no page in a Members space is public. Someone who can't open a space never sees its pages, in the sidebar or in search.

Arrange pages

  1. In a space, press New group to add a sidebar heading (up to 80 characters). Rename Group renames it.
  2. Drag pages and groups to reorder, or move a page into a group or Top level.
  3. Press Save Order. If someone else changed the space meanwhile, you're asked to reload.

Pages outside a group show at the top level. Readers get the sidebar, Previous and Next links, and a breadcrumb.
